How to Request a Windows License Refund Without Losing Your Laptop

A new laptop can feel like a blank notebook until the first boot. Then, before the desktop appears, Windows presents an End-User License Agreement (EULA), the contract that gives you permission to use the operating system. If you planned to run Linux or another system, that prompt can make the purchase feel oddly incomplete: you paid for a software license you may never use.

A Windows license refund is sometimes available, but it is not a universal Microsoft refund button. The practical route usually runs through the retailer or laptop maker, and the result may be a refund, credit, or requirement to return the entire device. The safest strategy is paperwork first, installation second.

The fine print points to the manufacturer

An Original Equipment Manufacturer (OEM) is the company that built the laptop under its brand. Microsoft’s Windows 11 OEM terms say that if you do not accept the license terms, you may contact the device manufacturer, software installer, or direct retailer and follow its return policy. That policy can require proof of purchase and may require returning the preinstalled software with the entire device. (microsoft.com)

That wording changes the shape of the problem. You are not asking Microsoft to remove a line from an invoice; you are asking the party that sold or supplied the license to explain its process. For a U.S. purchase, start with the seller’s written policy and applicable state consumer rules. Refund procedures are also regional. Instructions written for a laptop bought in Italy, a different model, or an older version of Windows may not apply to a U.S. purchase made today. Treat brand-specific tables as leads, not promises.

Capture the moment before you change anything

The first boot is your best evidence window. Before accepting the EULA or modifying the storage, collect the documents that show exactly what you bought and what the manufacturer presented:

• Save the invoice, order confirmation, product listing, and packing slip. Note whether the listing named Windows Home or Windows Pro.
• Photograph the EULA screens before accepting them if your intended path is to reject the license. If you already accepted it, do not rewrite the story; record accurately when and how it happened.
• Screenshot Settings > System > Activation and record the Windows edition and activation message.
• Photograph the model number, serial number, packaging, and any certificate-of-authenticity or product-key label. Leave labels attached.
• Save support chats and emails. For a phone call, write down the date, time, agent’s name, and case number.

Do not wipe the drive, delete recovery partitions, install Linux, or ship the laptop until the seller gives written instructions. Microsoft’s clean-install guidance warns that this process removes personal files, applications, and manufacturer customizations, while the Windows license terms allow a return policy that may require the complete device. If the laptop is already set up, there is no need to panic. Preserve the evidence you still have and make a factual request. Accepting the agreement may affect the seller’s response, but it does not tell you by itself what the applicable policy or local law requires.

Find out what kind of license you have

A product key is a 25-character code used to activate Windows. A digital license is an electronic entitlement associated with the device or a Microsoft account. Activation is the verification step that confirms Windows has a valid license.

Open Settings > System > Activation and record the edition and full status message. On many OEM laptops, the product key is stored in firmware, the low-level software on the motherboard that starts the computer. During a reinstall, Windows Setup may detect that key and activate the same edition automatically.

For an optional licensing view, open Command Prompt as an administrator and run:

slmgr /dlv

Treat the result as supporting evidence, not a receipt. Microsoft warns that this command can display a partial default key rather than the unique key stored in the device firmware. Do not publish a full product key or send it to an unofficial support address. (support.microsoft.com)

Send a short, written request

Use email or chat so the conversation has a timestamp. Keep the message calm and specific. A useful request looks like this:

Subject: Request for preinstalled Windows license refund — [model and order number]

I purchased [laptop model] on [date] from [seller]. The device was supplied with
[Windows edition] preinstalled. I am requesting the applicable process for returning
or refunding the preinstalled Windows license.

Please confirm:
- whether the software can be returned separately or the entire device must be returned;
- the refund amount and any deadline;
- whether return shipping is prepaid;
- what happens to warranty and technical support;
- which steps you require before another operating system is installed.

Attached are copies of my proof of purchase and photographs of the license information.

Attach copies rather than originals, and redact financial account numbers, government identification numbers, and any full product key. Ask for a case number and a written response. If the answer is no

A denial is not the same as a complete explanation. Ask the company to identify the exact policy clause it is relying on and whether the answer comes from the retailer, manufacturer, or a separate service partner. Escalate through a supervisor or formal complaints department, keeping every response in the same case file.

For a U.S. purchase, the Italian antitrust route mentioned in some older refund guides is not the right agency. A state attorney general or state consumer-protection office may be able to mediate, while the FTC can collect reports and identify patterns even though it does not resolve individual complaints.

A chargeback is a request asking your card issuer to reverse a transaction. Use it only when the facts fit the card agreement, such as merchandise that was not delivered as agreed or was materially different from what was promised. An unwanted but accurately advertised Windows bundle is not automatically an unauthorized charge. For qualifying billing-error disputes, the Consumer Financial Protection Bureau says written notice generally must reach the card issuer within 60 days after the statement showing the charge. Install Linux last

Linux is a family of open-source operating systems. Once the refund process is finished or the seller confirms that changing the machine will not affect it, make a backup and test Linux from a live USB, a bootable flash drive that runs the system without installing it on the internal disk. Check Wi-Fi, sound, graphics, sleep, webcam, fingerprint reader, and external displays before committing to a clean installation.

For future purchases, a no-operating-system or Linux-preinstalled laptop avoids this dispute altogether. Current examples include Framework’s DIY Edition with no operating system, Lenovo’s U.S. Linux catalogue, and System76’s Linux laptop range, although availability and support differ by model.
